The University of Digital Economics and Agrotechnologies (UDEA) is seeking a Manager for the Academic Affairs Department to lead and oversee academic operations, ensuring smooth administrative functions, faculty support, and an exceptional student experience.

Position Overview:

The Academic Affairs Department Manager is responsible for overseeing key aspects of academic administration and ensuring efficient support for faculty, students, and staff within the academic department. Working closely with the Head of Academic Affairs and fellow managers, this role contributes to the strategic development and operational excellence of the department, focusing on maintaining academic standards, supporting curriculum development, and enhancing student experience.

Key Responsibilities:

  1. Academic Operations Management:
    • Supervise daily academic administrative functions, including class scheduling, course registration, and exam coordination.
    • Ensure adherence to academic policies, procedures, and regulatory requirements.
    • Collaborate with the Head of Academic Affairs to monitor program quality and performance.
  2. Faculty Support:
    • Assist in managing faculty workload, scheduling, and course assignments.
    • Provide faculty with administrative support for curriculum development, teaching materials, and other academic resources.
    • Support faculty in the implementation of new educational technologies and pedagogical approaches.
  3. Student Services:
    • Oversee student academic advising, support, and records management, ensuring timely and accurate assistance.
    • Coordinate student orientation programs, academic advising workshops, and information sessions.
    • Address student concerns and inquiries related to academic progress, registration, and course requirements.
  4. Data and Reporting:
    • Monitor academic performance indicators and prepare reports on student success, faculty workload, and curriculum effectiveness.
    • Use data-driven insights to identify areas for improvement and collaborate with other managers to implement changes.
    • Maintain accurate academic records in accordance with institutional guidelines.
  5. Collaboration and Leadership:
    • Work closely with the Head of Academic Affairs and the team of five managers to develop strategic initiatives and implement department-wide projects.
    • Ensure coordination between academic departments, admissions, student services, and other relevant units.
    • Lead, mentor, and train junior administrative staff to ensure smooth daily operations.
  6. Curriculum Development and Program Support:
    • Assist in the development, revision, and assessment of academic programs, ensuring they meet the needs of students and align with institutional goals.
    • Liaise with academic committees to facilitate program reviews and accreditations.
    • Manage projects related to curriculum innovation and implementation.
  7. Compliance and Policy Enforcement:
    • Ensure that all academic programs meet internal and external standards, including accreditation and regulatory compliance.
    • Support the implementation of academic policies and resolve conflicts regarding academic regulations.

Qualifications:

  • Education: Bachelor’s degree in education administration, business, or a related field (Master’s degree preferred).
  • Experience: Minimum 3-5 years of experience in academic administration or a related field, with leadership experience.
  • Skills:
    • Strong organizational and project management skills.
    • Excellent written and verbal communication skills.
    • Proficient in data management systems, including student information systems (SIS) and learning management systems (LMS).
    • Ability to work collaboratively and lead cross-functional teams.
    • Knowledge of academic policies, higher education regulations, and accreditation standards.
